Rental Agreement

Term 2023/2024 Dates

  • Fall 2023 Term: September 1, 2023 - December 19, 2023
  • Winter 2024 Term: January 1, 2024 - April 22, 2024

If you are an academic year student living on campus for the Fall and Winter Terms you may occupy the suite between December 19, 2023 and January 1, 2024 at no additional charge. 

Reservation and Acceptance Fee

Once you have received your acceptance letter to RDP Residence, a reservation and acceptance fee is required to reserve your unit before you arrive. This fee will be applied to your Residence fees upon check in to Residence. Once you have your acceptance letter, it is beneficial to go through this process as soon as possible.

Payment of your Reservation and Acceptance Fee must be done online through your Residence Portal account.

Cost: General Resident $500

Family Tenants - Security Deposit

After you have been accepted to live in Residence, family tenants must provide a reservation deposit to reserve your unit before you arrive. Once you check in to Residence this reservation deposit will act as your Security Deposit.

Please follow the guidelines included in your acceptance letter for methods of payment.

Cost: Family Tenant Reservation and SecurityDeposit: $700

Residence Rental Agreement

Once you have been accepted into RDP Residence for any period of time (a full or partial academic year, summer accommodation, etc.), all types of students, upon arrival, must sign the Residence Rental Agreement Lease. The Residence Rental Agreement is a binding legal document and the signee must regard it in such a manner. As the Residence Lease is a binding document, it is followed very closely and referred to throughout your stay here, so please read it carefully when signing. If, when arriving, you are under 18 years of age, you must have a parent or legal guardian with you to sign the rental agreement lease.

An administration fee is applicable for early termination of this agreement. Early termination of the Rental Agreement may be due to the following reasons (this list is not exhaustive):

  • A breach of any aspect of the contract
  • If the lodger violates any aspect of the Behavioral Standards outlined in the Residence Handbook
  • If the lodger has committed an illegal offense or used the premises for illegal purposes
  • If the lodger is no longer a full-time student
  • Non-payment of the rent, by the lodger, as it falls due

The termination fee is $150

Move-In Day

Welcome home!

Please see your move-in package email for details on your assigned move-in date. 

When preparing to live in Residence, there are a few things that you should keep in mind.

What to Bring:

  • Personal Items: Even though the units are fully furnished, you still need to bring personal items that you want or need.
  • Linens: You will need to bring: towels, linens and bedding. The mattresses are single Twin XL (39"x80").
  • Cookware: You will also need to supply your own dishes, cookware, microwaves and other small kitchen appliances.
  • Cleaning Supplies: Cleaning supplies are not provided. You will need a vacuum, mop, bucket, garbage bags and any other cleaning supplies. Garbage cans are provided.
  • Household Items: Some handy things to remember are: hangers, extension cords, power bars, a phone, a desk lamp and washroom supplies.
  • Television: TV for streaming your favorite online shows and movies.
  • Entertainment: Bring entertainment for you and your roommates (i.e. movies, music, etc.).

What Not to Bring:

  • Dangerous and hazardous items cannot be brought onto campus. Anyone found to be in possession of such items will be evicted from Residence. Weapons of any kind are not allowed in Residence, including but not limited to, paintball guns, air/pellet guns, knives and swords. In addition, motorbikes, propane tanks and accelerants cannot be kept inside the unit.
  • For health reasons, pets are not permitted in Residence. Anyone found to be in possession of an animal in Residence will be asked to remove the animal and will face disciplinary action. Fish in tanks of 10 litres or less are allowed.
  • Only tacks and pins may be used for hanging posters and pictures. Please do not use nails or screws to hang pictures or other items on the unit walls. Also, do not use any type of adhesive material to hang things on the walls.
  • Non-prescription drugs classified as illegal under the Criminal Code of Canada are not permitted in Residence or on campus grounds. Anyone found to be in possession of, distributing, selling or using such substances will be subject to legal action and immediate eviction from Residence. We reserve the right to confiscate any illegal substances.
  • Outside furniture such as couches, chairs and other furniture. To help provide a safe and healthy community these types of belongings are not permitted as they may be home to pests such as bed bugs. 

Insurance

Students are required to posses valid tenants insurance during their stay here at Red Deer Polytechnic. RDP has implemented a program with Marsh and Aviva that provides Tenants Insurance during your stay on campus for a low cost. You may opt-out with proof of valid tenant insurance. 

Parking

Apply for Parking

We recommend using Google Chrome as your browser to apply for your parking. 

Parking applications open August 17, 2024 for the 2024/2025 academic year. Students who have a room in Residence for the academic year will be emailed a link to purchase parking. Each link is specific to the lot closest to your assigned room. Parking is available on a first-come first-serve basis.

General Parking Information

A link to the Residence Parking Application will be provided once parking is available to purchase.

There are a limited number of parking stalls available, so it is important that applications are completed as quickly as possible. Parking lots are assigned on a first-paid, first-served basis.

Please ensure that you park as straight as possible and between the lines in your respective lot to make room for the vehicle next to you. All Residence parking stalls are equipped with plug-ins. The plug-ins are controlled by a computer and the electricity is on for 20 minutes, then off for 20 minutes, when it is -10 degrees Celsius or colder. Do not plug in a block heater and an in-car heater at the same time, as it will trip the breaker.

Two license plates can be registered, but only one vehicle can be on campus at a time.

Parking Enforcement

A valid Residence parking permit entitles you to park in your assigned lot only. Residents may not apply for parking for vehicles that belong to other RDP students or non-students.

All vehicles in a Red Deer Polytechnic Residence parking stall must have a visible, valid license plate with current registration. Failure to display a valid license plate (with current registration) on the vehicle may result in disciplinary action. You must drive forward into any stall. You are not able to back-in to a stall as this hides the license plate from the road.  

Visitors must park in metered stalls. The meters are set for a maximum of 45 minutes for $1.50 from 8 am to 4 pm, Monday to Friday. After 4 pm and on weekends, visitors can park around the grassy islands by the Rowhouses and in the metered stalls for free.

Parking is lot based. When you apply for parking you will be assigned to a specific lot in Residence. You can park in any stall in this lot. 

When you are not in your assigned parking lot and the Residence Office and/or the Security staff have not been informed, you will be ticketed.

It is illegal to:

  • Park in a lot not assigned to yourself
  • Park in an area posted "No Parking"
  • Park in a barrier-free accommodation parking spot
  • Park straddling the lines
  • Park by a fire hydrant
  • Park in a fire lane

Visitor Parking

Parking in Residence is enforced 24/7 in any lot-based stall. Visitors to Residence must park in a visitor stall. Parking is complimentary for visitors in these areas after hours and on weekends. Visitors must purchase a visitor parking permit online from Monday to Friday between 8 am to 4:30pm. The cost of a visitor pass is $10/day. 

Failure to have an active permit during the hours above may result in a ticket. 

Parking Refunds

When a person has paid the appropriate fee for a parking permit and consequently cancels their parking, a refund may be approved based on the amount of time remaining on the permit.

Students must email RDP Residence to initiate the cancellation and refund of parking. 

Residence Attendants

The Who’s, What’s and Why’s of Being an RA!

Who

Residence Attendants (RAs) are full-time students and part-time student staff members who live within the Residence community. They provide leadership, resources and support to students while ensuring a safe and respectful experience for everyone. The position of RA suits an individual who is self-motivated, capable of functioning independently or within a group, possesses exceptional leadership skills and is willing to commit their efforts to the enhancement of Residence Life.

What

The RAs work as part of the Residence Life Team and live in the Residence community. RAs are specially trained to provide quality services to the student community by assisting students in need and organizing opportunities for involvement. RAs uphold and enforce the expectations, policies and violations found in the Residence Handbook. RAs work to foster and promote inclusive living environments for students that directly support academic and personal development within Residence communities.

Why

Build Community

RAs facilitate the building of community in Residence. By creating programming for the Residence community, RAs are able to make connections with students and residents to make living on campus enjoyable! Programming consists of activities planned and designed by the RA’s that create a sense and feeling of community and get residents active and engaging with each other! Some examples of programming that our RAs have done in the past include West Edmonton Mall trips, sundaes on Sunday, de-stress evenings, movie nights and so much more!

Make a Difference

RAs have the opportunity to make an impact in their community. By working with students that live in Residence, RA’s develop strong links and relationships with their tenants that will allow them to leave a lasting mark on their Residence community. RAs check in on their tenants and make sure that they are settling into Residence and the Polytechnic life away from home. 

RA’s also interact with the larger community through the Tenants Association, and through activities such as volunteering with the Red Deer Ronald McDonald House’s Home for Dinner Program, collecting clothing items in winter for area organizations and many other opportunities to make a difference in our communities.

Lead a Community

RAs have many different roles in the Residence community: facilitator, educator, administrator, role model, team player and mentor. As a member of our Residence team, RAs have the opportunity to lead the Residence community throughout the year while enjoying the support of their teammates and professional staff supervisors.

Develop Leadership Skills

Residence supports our student staff in their professional development. Through experiences, the RA position will develop your skills as a leader, including to think critically and to respond effectively in challenging situations. R’s have opportunities to interact with many different people, learn and use active listening skills and plan events! In addition to these skills that you will develop through the year, RAs get a week of training before the school year starts. This training includes First Aid, Mental Health First Aid, Non-Violent Crisis Intervention and so much more! Then in October, RAs attend the Residence Life Professional Associations LEAD conference where RAs from all over western Canada attend, make connections and learn from their peers. Finally, there is a Winter Retreat in January where your skills are developed even further!

RAs develop strong professional connections with peers and make lifelong friends with teammates. Being an RA also provides valuable transferable skills that you can take with you beyond your experiences as a student.

Move-Out

End of Lease

You will receive a move-out package when you provide your notice to vacate Residence or at the end of the Rental Agreement. This usually occurs in April. This move-out package will include a cleaning responsibilities sheet, quick tips for cleaning and a permanent address and reference form.

You are not required to give notice if you move out at any point in April. Rent will not be prorated or refunded for early move-outs.

All tenants are expected to clean an equal share of the unit upon move-out even if there are tenants still in the unit. If a tenant does not sign up for an equal share of the unit they will be assigned to a share of the unit by Residence Staff. 

Notice to Vacate

As per the Rental Agreement, a Notice to Vacate must be completed if you wish to terminate your Rental Agreement before the agreed-upon end date.

Notice to Vacate forms must be completed in the Residence Administration building with a Residence Staff member.

There will be a $150 early termination penalty applied to your student account as per the Rental Agreement in addition to any other applicable terms and conditions of your agreement.

Notice must be received one calendar month prior to termination. This is on or before noon on the first of the month prior. 

Family and Friends

Keep in Touch

Residence staff can provide you with general information on policies, procedures and operations at RDP Residence throughout the year. We are not able to provide information about the students or tenants within our Residence. The Freedom of Information and Protection of Privacy Act (FOIPP) applies to all Polytechnic operations.

Residence staff are unable to provide information on any student file or account to third parties (parents or guardians) for students/tenants that are of the age of majority. This includes information on unit or room numbers, account balances, phone numbers and conduct history. This information is all considered private and cannot be released without the tenant’s written permission.

We value the relationship that we have with the family and friends of any tenant here on campus. While we may be limited in what information we can share or discuss, we want to help you as much as possible to ensure that your student has a great year!

Keep in Touch in Person or by Phone

Ensure that you have specific contact information for your student before you leave on Move-in Day, as you will not be able to contact your student through Residence.

If you are coming to visit your student, please ensure that you know how to contact them before you arrive, as we will not be able to contact your student for you.

We recommend setting up a communication routine or schedule with your student. Try using email or texting to touch base as your student may be too busy to respond to telephone calls.

Student mail will be sorted at Residence Administration and placed in each student’s personal mailbox on campus. Please note that we are not able to release unit or bedroom numbers for any students on campus for their privacy and protection.

Guests in Residence

Residents have the privilege of hosting guests only if they have the permission of all of their roommates. A resident's right to privacy takes precedence over a roommate's right to host a guest.

Each resident may only have overnight guests for a maximum of 5 nights per month if all roommates agree. Residents are responsible for their guests, and if they should do anything that warrants disciplinary action or a fine, they are personally responsible and will receive the fine or discipline. Also, guests can never stay in the unit unattended by the host. This will result in disciplinary action.

Residence Tenant's Insurance

Red Deer Polytechnic is pleased to offer a Tenants Insurance Program to our students who are living in Residence. For only $40 per term, you have a policy that covers your belongings and protects you against loss or damage you may be liable for. 

It is mandatory to have Tenants Insurance while living here on campus in Residence. You have the option to obtain alternative Tenants Insurance through your provider of choice. If you choose to obtain alternative Tenants Insurance, you must opt-out of this program by September 15 for Academic Year tenants to receive a reversal of the $80 Tenant Insurance charge on your Residence Account. To opt-out you must email residence proof that you have an alternative policy in place no later than September 15. For Winter Term only tenants the opt-out date is January 10. 

Please note that alternative Tenant Insurance policies are required to have a minimum of $1,000,000 personal liability coverage as part of the policy.

If we do not receive notice that you have opted out of this policy, it is implied that you accept this program for your Tenant Insurance requirement. If you have any questions about this program, please email our office or call 403.342.3257.
